Corporate Card and Expense Administrator

The Seattle Times, the Pulitzer Prize-winning newspaper, is actively seeking a qualified Corporate Card and Expense Administrator to join our Finance department! In this role, you will be primarily responsible for administrating expense reimbursements and the corporate Wells Fargo OneCard programs using Nexonia, in a timely and highly confidential manner.  The Corporate Card and Expense Administrator maintains the travel, expense reimbursement and OneCard Sharepoint sites, ensuring the company’s policies are followed.



OneCard Administration

  • Managing the company-wide Wells Fargo OneCard card program.
  • Maintaining cardholder records (additions, deletions and updates, including address, cost center and approver changes) in Nexonia. 
  • Processing card applications with Wells Fargo. 
  • Resolving questions and other issues as needed.
  • Submitting funding withdrawal notification to Director of Finance for payment to bank.

Expense Reimbursement & Travel Management

  • Reviewing expense reimbursements submitted by employees in Nexonia for company policy compliance, identifying any questionable charges.
  • Bringing questionable charges to attention of Accounting Manager for possible forwarding to Controller.
  • Creating and sending bi-weekly file to Payroll for reimbursements.
  • Maintains expense reimbursement controls.
  • Verifies mileage rate changes as needed.
  • Responds promptly to inquiries made by other company employees.



  • Experience: Minimum two years accounting experience.  Nexonia, or another expense management software such as Concur, experience preferred.
  • Education: Associate degree in Business (or a related field) or equivalent work experience.
  • Excellent communication (both written and verbal) and customer service skills are essential. 
  • Well organized and able to manage large volumes of detail. 
  • Must have proficient PC skills including, but not limited to, the use of spreadsheets and word processing. 
  • Knowledge of IRS regulations helpful.
